New year, new cleaning and disinfecting approach? 3 questions hybrid office and school facility managers should be asking

Is your workplace a hybrid workplace, where desks and other office equipment may be shared? Many are: in fact, a 2025 survey of 261 employers across Canada showed that 91% offered hybrid work arrangements. And in those workplaces, most workers are now in office more often, with many expected on-site between 11 and 15 days per month, if not more.

The truth is, without paying close attention to cleaning and disinfecting routines, this can all have an impact on employee health — as equipment and workspaces shared among commuting employees can allow pathogens to thrive. With this year’s cold and flu season upon us, it’s a great time to turn our focus to our current practices, and how they can be optimized. So managers, here are three important questions you can ask yourself to do just that:

If employees’ schedules change, your cleaning and disinfecting needs may change, too. More frequent cleaning (e.g. every 2-3 hours) may be necessary, and if there are shifts of workers coming and going, it’s important that your workplace is cleaned between shifts, or at least once during each one. That includes all high-touch surfaces: doorknobs, phones, kitchen handles, coffee makers, and copiers, to name a few. And don’t forget deep cleaning in addition to daily cleaning, as well as recording when cleaning takes place.

A few tips:

Make sure cleaning and disinfecting products are handy. Do your employees have, or know where to find, products like hand sanitizer, ready-to-use wipes, disinfectant sprays, tissues, and masks? Keep them readily available and in places like boardrooms and breakrooms. It’s also helpful to encourage cleaning and disinfecting of personal equipment with reminder signage and emails. This includes cell phones – we all know how easy it is to touch a coworker’s phone when they show us a picture.Stay on top of “hot desk” signups. Keeping track of who used what desk can help make it easier to trace potential contacts if infection happens. Reminding employees to take all their personal belongings with them (including water bottles, etc.) when they leave is important, too.

Choose “hands-free”. Swapping regular high-touch items like light switches, water taps or door handles for hands-free options can minimize pathogen transmission.

Remind employees about hand-washing and stay-home protocol. Want employees to keep their germs at home if they have a cold or flu symptoms? Send reminders. And, we all know the power of proper handwashing, so make sure sinks and bathrooms feature the following prompts:

  • For at least 20 seconds, wet, soap and lather:
    • fingers and thumbs
    • between fingers
    • back of hands
    • wrists
    • lower arms
  • Rinse thoroughly
  • Dry using an air dryer or fresh paper towel
  • If paper towels are available, use them to turn off the taps/faucets

By asking yourself these questions and finding the answers, you can help prevent “hybrid” from becoming “high risk”.
